Who may refuse: up to ₹500 whoever takes the cash can rule on the spot; above that only the store manager or ops. A supervisor can still approve a large claim — refusing is the contested direction, and it is the one that costs the agent money on the spot. A claim they cannot refuse lands here marked Sent to you, and the agent keeps that money until you decide.
Anything unruled for more than a week is flagged. A referred claim costs the company the moment it is made — the agent already has that cash — and it goes on costing quietly for as long as nobody rules on it. The flag is on the oldest claim, not the total, because one claim sitting eleven days is a worse signal than fourteen raised this morning.
A refused claim comes off the agent's next handover — nothing is taken from salary. Where a manager refuses at the handover itself it is settled there and then: the agent simply hands over that much more. Where ops refuses after the event, the amount is added to what the agent owes and is collected the next time they hand cash in. Either way it appears on the agent's own Cash & deposits screen the moment it is refused, so the deduction is never a surprise.

Every row here has two people behind it. The agent raised it on their phone; the receiver accepted it on theirs, under their own login, seeing the amount before they agreed. A row marked Typed code is just as binding — the code lived on the receiver's screen — but if one agent's handovers are always typed rather than scanned, that is worth a look.
